ACBL Unit 114

Minutes of Board Meeting

Norcross Hilton Hotel

July 1, 2006

President Nancy Hetsko called the meeting to order at 6:00 PM.

Other voting members in attendance were:  Tom Wight (VP), Mary Ann Bateman (Treas), Marty Nathan (Sec’y), Jerry Tift as proxy for Sandy Barrow (Past Pres), Betty Myers (1), Larry Rich (2), Kevin Collins (4), Beatrice Kemp (4), Josie Mitchell (4), Jan Word (4) , Liz Swanson (5), Dick Myers (6), Jimmy Lord as proxy for Len Perkins (7), Harpe Suggs (9), and Myrtis Howell (10).

Also attending were:  Ann Hedden (NAP), Mike Kovacich (Past Pres), Sam Marks (GNT), Ruth Suggs, Patty Tucker (Recorder)

During the review of the prior minutes, a correction was made to the timing of the new junior pairs and teams championships.  The minutes were approved as amended.

Committee Reports

Treasurer’s – Mary Ann Bateman presented the Treasurer’s Report (attached).  She pointed out that we had received from the ACBL $25,000 for the nationals, which has been deposited in RBC investment account.  The report was approved.

Nancy clarified the Unit’s position regarding meals as a result of some confusion at our last meeting.  The Unit provides a meal for voting members, committee chairpersons, past presidents and invited guests (if any).  Others may also have a meal if they reimburse the Unit at cost and advise us in advance so we can be sure there is sufficient food.  If alcoholic beverages are available, the cost is the responsibility of the member or guest and not the Unit.

Membership – Nancy announced that Barbara Turner has resigned as Membership Chairman.  Nancy thanked her in abstentia for the great job she has done.  Nancy has appointed Ann Hedden to replace her.

Tournaments – Dick Meyers announced that there is no change in the schedule since the last meeting.  We have sanctions through March of next year.

Trophy – Dick Myers handed out a list of our trophy’s and the respective winners throughout the years (attached).  The list has been prepared in part for inclusion on our web site.  Marty Nathan pointed out that there are a few typos – how could there not be with so many trophies – that need to be corrected first.  It was moved and seconded that special thanks are due to Dick for such a large undertaking.

Entitlement – Tom Wight presented 2 requests.  The first is from Ann Hedden to start up an Easybridge class.  The recommended EB procedure is that the first four classes be free; Ann is asking for $150 to cover her time for these free classes.  She also asks for reimbursement of advertising for the 25% that the ACBL does not cover, up to a maximum of $200.  All payment is contingent on Ann becoming a qualified Easybridge instructor and securing approval for the Oconee County Senior Center to have the classes there.  This request was approved, subject to the above stated qualifications.

The Warner Robins club has asked to be reimbursed for $256 for the cost of books for its recent Easybridge classes.  There was some discussion about the propriety of approving expenditures retrospectively.  While the consensus was that this is generally not a good idea, an exception can be made here as the club has committed to use this as “seed money” for a new series of classes.  There is no need for future book reimbursements due to a change in Easybridge policy.  (EB now recommends that the books be sold rather than given away)  This expenditure was approved.

It was pointed out that any teacher or club may ask for reimbursement of expenditures for similar expenditures.

Education – Nancy announced that Sandy Barrow will be the new Education Chairman, replacing Nancy herself.  Sandy has experience in this area with District 7.

NAP – Ann Hedden said that she has sent letters to all clubs to encourage participation in NAP qualifying.  There is some erroneous information that Ron Smith the District coordinator but is instead Chris Moll.  Mike Kovacich announced that the entire process is now under review at the district level, and that anyone can send suggestions to Larry Rich or to Mike.  Beatrice Kemp suggested that alternatives to Morganton be considered, at least on a rotating basis.  Mike mentioned some of the problems in arranging district finals, including food service/pricing and adequate space.  It was suggested that Beatrice or anyone else give their suggestions to Mike.

Old Business

Nancy announced that Unit 114 can nominate three people (based on our membership size) to the District Goodwill Committee.  Marty stated that he had received only two nominations – Arnold Hawkins and Bob Briggs.  Both were approved unanimously.  The floor was then opened for nominations for the third slot.  Nominated were:

Perry Alterman, by Marty Nathan

Nancy Watkins, by Ann Hedden

Marty Nathan, by Sam Marks

After some discussion as to whether Nancy would be eligible given her status as an employee or contractor with the ACBL, we decided to leave her on the ballot.  Marty was asked to leave the room during the vote.  Marty was selected as the third member.

Nancy then turned to the selection of Unit 114 Sportsperson of the Year.  Here three nominations had been submitted to the secretary – Claudia Feagin, Arnold Hawkins and Mary May.  Josie Mitchell then added the nomination of Barbara Heller.  By secret ballot vote, Mary May was selected and Barbara Heller was second.

There was a question regarding the ace of clubs certificates that were announced at the March sectional.  It was stated that the medallions were sent out for sure, but no one was positive about the certificates.  Nancy will look into this.

New Business

Nancy stated that Bob Heller has asked for reimbursement at $15 per page for work he has done on the Unit section of the District 7 News.  This totals $285, covering approximately three years.  He has also asked for the same per page payment for future editions.  Beatrice moved and seconded that this be paid.  Marty expressed concern that approving payments after the fact is a poor precedent for the board and asked Beatrice to allow her motion to be split into two motions, one for past work and the second for future work.  Beatrice accepted.  It was further pointed that we had been overcharged for past District 7 News by $190, which Bob Heller is holding.  There was further discussion on the motions.  Liz Swanson suggested that we pay Bob $300 in appreciation for the work he has done, whereupon the separate motions were recombined and approved.

Nancy announced that there were 4 pages available for the November issue, and copy must be submitted by Labor Day.  The Board then approved up to 2 pages for the November District News.  Possible topics include:  Recently approved youth trophy games; youth game at the Labor day regional; social bridge game at the Labor Day regional; new Goodwill Committee members; Sportsperson of the Year; and the trophy list if we can get it on the web site in time for publication.

Patty Tucker reported on the success she has had with Atlanta Junior Bridge (which the unit has sponsored in part).  There had been a game with 6 tables just this morning at the sectional.  See summary (attached) of other accomplishments.  She is also working on attracting grant money.  Patty would like teachers for the Conyers and Peachtree City areas.  While AJB activities are at least for now limited to the greater Atlanta area, Patty is willing to help anyone in the unit get a program started in other areas.

Patty also announced that there are two special games for the Labor Day Regional.  There will be a 0-5 game directed at social bridge players, similar to the one held two years ago.  The ACBL has arranged for a joint game with AARP that will also be held in conjunction with the Regional, the winner getting a free trip to the AARP national meeting.

Patty asked if the Board thought other clubs would be interested in reaching out to prospective juniors.  The response was affirmative and Marty will send Patty the latest email addresses for club managers.

Upon a motion duly seconded, the meeting was adjourned at 7:15.

Martin J.  Nathan

Secretary
